Conference photography for an international policy organisation
For the European Council on Foreign Relations Annual Council Meeting, I was commissioned to document a high-level international conference in Vienna, Austria.
As an institutional event photographer, my role was to create a complete visual record of the meeting while working discreetly around speakers, guests and important attendees. The event brought together policy experts, representatives, speakers and guests for discussions, presentations and networking sessions, requiring a careful balance between capturing authentic moments and maintaining a professional visual record of the conference.
Documenting a high-profile conference environment
Conference photography at international events requires more than just photographing what happens on stage.
The challenge is that I strive to capture all essential moments and overall atmosphere:
- speakers and panel discussions
- audience reactions
- networking moments
- important arrivals and VIPs
- some rather atmospheric shots of the event
- details that communicate the scale and importance of the meeting
With several sessions taking place throughout two days that I photographed, I anticipated all important moments while remaining unobtrusive.
Working under confidentiality requirements
As the event included private discussions, some sessions were held under Chatham House Rule.
For this reason, the images shown in this case study represent only publicly shareable moments from the meeting and do not include confidential discussions or restricted sessions which contribute to a half of coverage that I did.
This is a common rule when I photograph events as this scale, and gladly ECFR allowed me to publish some of the images.
Same-day Live image delivery for communication and press
One important requirement was providing images during the event itself.
After each session, I quickly prepared, selected and edited photographs and delivered to the client, allowing them to use fresh imagery for:
- internal communication
- social media updates
- online publications
- press communication
I transferred them to my laptop while shooting and edited and delivered them in batches every 30 min -1h.
Photographing challenging conference conditions
Conference venues often present difficult lighting situations. Like in the photo above, we have purple stage lighting, artificial warm light, and natural light coming from the windows.
The main conference room used coloured stage lighting, which created a visually interesting atmosphere but required careful handling to maintain natural skin tones and consistent colour. As an institutional event photographer, I focus on adapting to the environment while preserving the atmosphere and authenticity of each moment.
By adapting to the available lighting and using additional portable lighting when needed, I was able to create images that felt both professional and atmospheric.
Memorandum signing at the Austrian National Library
One of the highlights of the event was the signing of a memorandum of understanding.
The signing took place in the Austrian National Library in Vienna, in a historic room surrounded by painted ceilings and traditional bookshelves.
This provided a completely different visual environment from the main conference space and allowed the final images to capture not only the formal importance of the moment but also the character of the location itself.
