For some conferences, waiting until the next day for photographs is simply too late. A strong speaker moment, a panel discussion or an important announcement may need to go online while the conversation is still happening. This is where same-day event photography becomes especially useful: I photograph the event, select and process the highlights on location, and send a small, ready-to-use set while the programme is still running.
I have used this workflow for conferences including the ECFR Annual Council Meeting and a European Union grant-signing ceremony. It gives communications teams material for LinkedIn, press releases and live event updates without taking me away from the photography for long.
How same-day event photography works during a conference
Before the event, I look closely at the timeline. I want to know when the speakers are on stage, where panel discussions take place, and which moments are most important for the organisers. A clear programme lets me decide when I can sit down briefly without risking a key photograph.
During a presentation or a longer panel, I usually work from a small table at the back of the room. I use several memory cards, transfer the selected images to my laptop, and choose the strongest frames from each speaker including: usually a close portrait, a mid-frame, a wider view with the audience, and the most natural expressions or gestures.
From the moment I sit down to the client receiving the images, the first selection normally takes around 15 to 20 minutes. I make a quick simple edit so the photographs already look polished and consistent.
What can be delivered on the day
For each speaker, I can usually deliver around 5useful photographs: a mixture of close portraits, wider views and moments that show the atmosphere in the room. After a networking session, I can also send a set of roughly 10 images with the conversations, arrivals and interactions in it.
That means the most important highlights of the day can be available for social media and press use before the conference ends. The final gallery still receives my regular full edit afterwards, so all photographs have a consistent finish and the complete story of the event is delivered at the agreed pace. My final edit is obviously more thorough where I pay extra attention to skin tones and overall atmosphere.

Staying present for the event
The important part of this approach is that I stay close to what is happening. I work in the room whenever possible, so I can immediately stop editing and continue photographing if something unexpected starts. I have never missed an important event moment because of the delivery process as I usually specifically request a sit inside the main conference room and have a camera with a fresh card inside ready to continue photographing.
There are occasions when a separate editor or editing team is the right solution, especially for a larger production or if you’d like to receive complete polished gallery during the day. For many conferences, though, I prefer processing the highlights on location myself. I prefer simpler approach where I can control everything.
